❶ Keep All Records
It is wise to establish a designated folder or bin to hold all of your tangible records regarding your roof work. Regardless of how insignificant it may seem, be sure to keep everything, including paperwork, agreements, contracts, estimates, change orders, pamphlets, invoices, samples, warranties, all records of payments, and similar documents. This same tip applies to electronic mail, so be sure to save all related voicemails, emails, PDFs, downloads, text messages, and more. Additionally, it is very wise to keep a personal log that contains brief descriptions of all phone calls, conversations, voicemails, timelines, activities, and more. It is more helpful to take and store photos of the project’s progress. All of these tactics can come in handy if problems arise during or after the project.

It is important that you do not make any final payments for construction before all work is done. Instead, you can pay wisely by being fully-informed of the payment arrangement, knowing the limit on the final bill, learning when you have the right to withhold payment, and keeping track of all dates and payments made. Most importantly, do not sign an affidavit of final release unless you are completely satisfied with the finished work. Furthermore, you need to be assured that all subcontractors and suppliers have been paid as well. Depending on where you live, you could be at risk of having a “mechanic’s lien” placed against your home for unpaid subcontractor bills, even without your knowledge of their bills being unpaid by the original roofing contractor. To avoid this risk, you can also request a lien release or waiver from every supplier, contractor, and subcontractor that gets involved with the project.
❸ Incorporate a Sign-Off Checklist
Before you approve the work and make your final payment, it is very helpful to have a checklist ready to go so that you can more accurately sign off on everything. Your checklist should cover all the important structural and financial aspects of the project. This includes inspecting and approving all work and ensuring that the work meets the industry standards and the standards drawn out in the contract. It also includes being sure that you are in possession of all related warranties for materials and craftsmanship, and that you have documented proof that all suppliers and subcontractors have been paid in full. Lastly, be sure that the job site has been thoroughly cleaned up and cleared of excess construction debris and equipment.
